This full-time, in-office position in Encino, CA, reports directly to the Payroll Manager and Company President. Job Title: Senior Payroll Coordinator

Location: Encino, CA

Position Type: Full-time (Temporary to Possible Hire)

Schedule: Monday to Friday 8:30am – 5:30pm

Job Responsibilities:

The ideal candidate will have a minimum of 2-3 years of relevant experience in a general payroll role within a fast-paced, dynamic environment.

Key responsibilities include:

  1. Weekly Payroll Processing: Accurately process and reconcile payroll on a weekly basis.
  2. Audit and Compliance: Evaluate, audit, and implement procedures to ensure compliance with payroll and timecard policies.
  3. California Payroll Regulations: Ensure understanding and adherence to California payroll regulations, including wage and hour laws, paid sick leave, and timecard requirements.
  4. Support Payroll Specialists: Assist Payroll Specialists with tasks such as time entry audits, data entry for W4/DE4 forms, and direct deposits.
  5. EDD Forms: Respond to EDD form inquiries and manage related tasks.
  6. Garnishments: Process garnishments, including child support, tax levies, etc., and reconcile both employee contributions and vendor payments.
  7. Payroll Reports: Prepare weekly payroll reports.
  8. General Office Duties: Perform general administrative tasks including copying, filing, scanning, and organizing financial and payroll records.
  9. Payroll Issue Resolution: Research, analyze, and resolve payroll-related issues or questions.
  10. Year-End Compliance: Review, audit, and ensure compliance with year-end reporting items such as W2/1095 distribution.
  11. Team Support: Provide support to team members during peak times or high-volume periods, including vacation coverage.
  12. Administrative Support: Assist with basic administrative duties such as answering calls, preparing documents, and addressing customer service needs for the Owner/President.
  13. Project Management: Take on new projects as assigned by management.

Requirements:

  • Kronos and ADP Experience (Intermediate to Advanced): Must be proficient with Kronos and ADP payroll systems.
  • Excel Proficiency: Intermediate to advanced Excel skills required, including knowledge of formulas, complex editing, and advanced formatting.
  • Payroll Experience: 2-3 years of payroll experience preferred.
  • Adaptability: Willingness to learn and take on new challenges.
  • Attention to Detail: Strong focus on accuracy and detail in all tasks.
  • Bilingual (English/Spanish) Preferred: Spanish-speaking candidates are encouraged to apply.
  • Teamwork: Ability to establish and maintain healthy working relationships with colleagues and clients.
