Position Overview:

We are seeking a detail-oriented and self-motivated Event Coordinator / Administrative Assistant to join our team. In this role, you will be responsible for planning, organizing, and executing a wide range of events aimed at promoting MAG's products and services. Additionally, you will provide administrative support to our executives, handling confidential information with the utmost discretion and professionalism.

Key Responsibilities:

Event Coordination:

  • Plan, implement, and follow up on all special events and associated activities.
  • Coordinate event logistics, publicity, including public relations, advertising, and collateral material design, event permitting, production, and distribution of signage/materials.
  • Develop and maintain event and volunteer databases.
  • Cultivate and expand sponsorship development and fulfillment.
  • Assist with the development and implementation of marketing plans and materials.

Administrative Support:

  • Provide comprehensive administrative support to executives, including managing correspondence, scheduling meetings, and preparing reports.
  • Handle sensitive and confidential information with discretion.
  • Assist with special projects as assigned.
  • Maintain organized records and files.

Qualifications:

  • Bachelor’s degree in Communications, Business Administration, or a related field preferred.
  • Minimum of 3 years of experience in event coordination and administrative support.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with integrity and professionalism.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving skills.

Physical Requirements:

  • Ability to lift and carry up to 25 pounds occasionally.
  • Ability to sit and stand for extended periods.
  • Ability to travel as needed for events.

Work Environment:

  • Primarily an office environment with occasional event site visits.
  • Fast-paced and deadline-driven.
