Job Description

Job Title: Staffing Coordinator III

Location: Milpitas, CA

Duration: 6-month assignment (with potential to extend based on performance and budget)

Schedule: Hybrid – Onsite Mon, Tues, Thurs

Hours: 8:00 AM – 5:00 PM (30–60 minute unpaid lunch)

Pay: $38-41/hour

Seeking a highly organized and detail-oriented Staffing Coordinator III to join our team in Milpitas, CA. In this hybrid role, you will play a critical part in supporting recruitment and onboarding processes. The ideal candidate will have strong administrative experience in staffing or HR, excellent multitasking ability, and a collaborative mindset to help streamline operations and enhance candidate experience.

Key Responsibilities:

  • Coordinate interview scheduling and travel logistics for candidates
  • Create and route offer letters for approval via SmartRecruiters
  • Initiate and track pre-hire onboarding processes for new hires
  • Maintain accurate data and audit entries in internal systems
  • Support administrative processes including expense reports, document review, and file maintenance
  • ​Proficiency in using applicant tracking systems (ATS); SmartRecruiters experience strongly preferred
  • Ability to read and interpret HR policies and employment regulations
  • Comfortable working in a dynamic, fast-paced environment
  • Knowledge of employment laws and regulations related to hiring, wages, benefits, and records management

Qualifications:

  • 5+ years of relevant experience in HR/staffing operations
  • Proficient in SmartRecruiters or similar applicant tracking systems
  • Highly skilled in Microsoft Word, Excel, PowerPoint, and Outlook
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment
